Find out about the file storage available to you as a student.

OneDrive

As part of your Office 365 account, Surrey students have access to 1TB of cloud storage for your personal work files using OneDrive.

OneDrive provides you with:

  • 1TB of cloud storage  
  • Added security through encrypted data, ensuring no unauthorised users can access your files  
  • Automatic syncing and backing up of files 
  • Quick and easy recovery of deleted files 
  • Streamlined accessibility from any device and any location 
  • Ability to share and edit documents alongside others.

Using OneDrive

To get to OneDrive from a web browser:

  1. Visit Surrey365 at surrey365.surrey.ac.uk
     
  2. Enter your university username and password.
    Your username will need to be in the following format username@surrey.ac.uk
    (e.g. ab123@surrey.ac.uk)

    On some occasions you may also be promoted to enter an additional verification code using Microsoft Authenticator App, call or text.
     
  3. At the top of the page, select the app launcher, and then select OneDrive.
     
  4. You will be taken directly to your Office 365 OneDrive storage space, where you can upload and access files as well as edit them using Office Online.  

If it is the first time you are using OneDrive, you may need to sync your files. To do this press the Sync button on the top menu bar. If you are using a public PC for security reasons you should not sync your device.

Get to OneDrive on a University PC or Laptop (Windows 10)

  1. Click on the Folder icon on the toolbar at the bottom of the desktop to open your files. 
  2. Select OneDrive – University of Surrey to access your files. 

Or alternatively, select the OneDrive icon on the bottom right of your desktop.

Get to OneDrive on a University PC or Laptop (Linux) using the Applications menu

  1. Search for OneDrive in the applications menu. Click on the OneDrive icon to access your account.

  1. Visit Surrey365 at surrey365.surrey.ac.uk.
     
  2. Enter your university username and password.
    Your username will need to be in the following format username@surrey.ac.uk
    (e.g. ab123@surrey.ac.uk)

To get to OneDrive from a smart device

You can access OneDrive on your own device using the Microsoft OneDrive App. To download the app on your device, visit the link below.

Once you have downloaded the app on your device you will need to enter your university username followed by @surrey.ac.uk (e.g. ab123@surrey.ac.uk) and password when prompted.

OneDrive for Linux Users

As a Linux user you will have access to your Linux Home Drive as well as OneDrive. The experience will differ slightly depending on the device you are using.

Experience on a Linux PC

Linux users will not notice any changes to their Home Drive from Linux devices. The Home Drive will continue to be available for storage in addition to OneDrive which will be available from a web browser or applications menu using the steps below.

Search for OneDrive in the applications menu. Click on the OneDrive icon to access your account.

Copying files

Files can be dragged and dropped in browser view if you want to make copy files from Linux to OneDrive.

Experience from a Windows PC

When logging in from a Windows Lab PC there will no longer be a mapping (H:) to your Linux Home Drive. You will automatically save files to OneDrive, the standard place to store files from Windows devices.

If you want to access files saved on your Linux Home Drive you can open Windows explorer and navigate to your Linux Home Drive using the following path: \\surrey.ac.uk\personal. You will see a folder named “HSXXX” (XXX will be a three digit number) click through to this and you will see you home folder name “username” or “documents”. 

You can copy files from Linux to OneDrive using the standard copy and paste method.

Storing data

You can store most University related material e.g. lecture notes, OneNote files and posters on OneDrive. All the data you store is encrypted and is visible only to you unless you choose to share it.

As a reminder, do not store personal data such as photos and personal documents on your University OneDrive account as you will lose access when you leave the University. Any personal data is stored at your own risk as the University can monitor and access the data in your OneDrive account for the prevention, detection and investigation of crime or the unauthorised use of University systems.

Advice:

  • Always use University of Surrey provided file storage for your University work.
  • We don’t recommend using or purchasing external hard drives as a primary storage location. Please only use this option to transfer or back up data. This option is not backed up and can be stolen, lost or fail.
Leaving the University

Once you have been awarded your degree (this happens before graduation) your University account will enter a 90-day expiry period. During the 90-day expiry period you still have access to all IT services including email, Office 365 applications, SurreyLearn and your documents in OneDrive.

Before the 90-day period ends it is important that you back up data stored in your OneDrive account to avoid losing any date. You can back up your data by following the instructions below.

All Office documents and other files stored in your OneDrive space will become inaccessible to you when you leave and will eventually be deleted. It is therefore your responsibility to ensure that you obtain copies of any documents or files you require after you leave the University.

File storage for research and projects

For project and research storage space, research students can apply for shared folders by visiting, filestorage.surrey.ac.uk. If you need large storage spaces please contact IT Services.

My OneDrive is not syncing to my device

If your OneDrive is not syncing to your device, e.g. you may be seeing OneDrive login or sync error messages or your OneDrive folders might not show in your OneDrive (your work is not lost), please follow the OneDrive instructions (PDF) to fix the issue.
