Book social spaces

You can book various spaces across campus for your society, sports club or social needs including a number of BBQ areas on both the Stag Hill and Manor Park campuses.

Treetops (Wates House) – 20 to 80 people

Times bookable: weekday evenings during term time, 6:00pm – 11:00pm

Treetops is upstairs from the Wates House Bar and can be used for society meetings or socials and can accommodate up to 80 people. The space has an in-built projector and screen, which is available for your use. Should you require any additional equipment please contact the conference team directly. All food and drink can be purchased from Wates House, as providing your own food and drink will not be permitted.

Wates Room (Wates House) – up to 20 people

Times bookable: weekday evenings during term time, 6:00pm – 11:00pm

Wates Room is above Wates House Bar and can be used for society meetings or socials, and can accommodate up to 80 people. The space has an in-built projector and screen, which is available for your use. Should you require any additional equipment please contact the conference team directly. All food and drink can be purchased from Wates House providing your own food and drink will not be permitted.

Green Room – 50 to 150 people

Times bookable: weekday evenings during term time, 6:00pm – 11:00pm

The Green Room is located opposite Wates House Bar and can be used for society meetings or socials, and can accommodate up to 150 people. The space has an in-built projector and screen, which is available for your use. Should you require any additional equipment please contact the conference team directly. All food and drink can be purchased from Wates House, providing your own food and drink will not be permitted.

Hillside Restaurant – 80 to 300 people

Times bookable: evenings and weekends during term time

Hillside can be booked providing catering is also ordered for 80 to 300 people on evenings and weekends during term time only.

Terms and conditions
  1. All spaces must be left as they are found. Any damages or additional cleaning fees may be chargeable directly to the society.
  2. Additional fees include:
  • Cleaning fees – if a space is found with leftover rubbish/mess a fee may be given to the student group for cleaning charges.
  • Portering – if the furniture in a space was not returned to how it was found prior to the booking then a portering fee may be given to the student group for the labour of returning the room to the original standard.
  • Damages – any damages to property will be charged back to the student group.
  • Door Staff – it is down to HCCS to decide if door staff will be needed for your event. If they are needed, the charge for this will be passed to the student group.

     3. Cancellation terms will be applied to all bookings.

  • For free space, if you cancel within 48 hours or do not attend a booking more than twice in an academic year, you will no longer be able to book this space.
  • For bookings with a minimum spend and/or catering, we will require 5 days’ notice for cancellations. After this time, you may be charged for the value of the minimum spend and/or the catering that has been ordered.
Alcohol policy

Under no circumstances any students, group or society are permitted to bring own alcohol to any of the venues. In an incident if we find a student or a group carrying and drinking own alcohol the HCCS team reserve the right to stop the event and guest will be asked to leave the venue immediately.

If any student group or society display the same behaviour twice they will be banned from booking any events for 12 months.

Book a barbecue

The University has a number of fixed barbecues on campus which are for the use of students and staff:

  • Lake on Stag Hill: south of the lake near the footpath
  • Stag Hill Court: near the reception
  • Guildford Court: towards the Quiet Centre and next to the Garden Societies garden (not easily accessible by wheelchair due to a steep hill)
  • Manor Park campus: near Paxton's Pond.

Barbecue sites are available for use between 11am and 9pm.

Please be aware that barbecues are not permitted during exam periods and graduation.
