Award certificates

If you are due to graduate soon, find out how you can receive your award certificate.

How you will receive your certificate

All students who are eligible to attend a degree conferment ceremony will receive their certificate at the ceremony in April for postgraduate students and July for undergraduate students.

Certificates for those not attending will be posted after the ceremony.

Certificate for those not eligible to attend will be posted out approximately three weeks after the date of award.

If you need your certificate before the graduation ceremony please contact examinations@surrey.ac.uk to confirm where you want your certificate posting to.

If you haven't received your certificate in the post

For undergraduate eligible to attend a ceremony in July. If you have not been contacted by the end of August please contact examinations@surrey.ac.uk.

For postgraduate eligible to attend a ceremony in April. If you have not been contacted by the end of May please contact examinations@surrey.ac.uk.

If you do not inform the Assessment and Awards office of a missing certificate within 12 months of your award, there will be a £45 fee to re-issue the certificate.

Replacements

The Assessment and Awards Office is responsible for issuing replacement award certificates to all University of Surrey and associated institution students.

Applications should be made via email to examinations@surrey.ac.uk and must state the reason for requesting a new original certificate. Along with your URN (if known), Full name at the time of study, programme, start/end years, date of birth, the name of the Institution you attended.

Replacements can only be issued in cases where the original has been irretrievably lost. In view of this, those applying for replacements are reminded that their letter or email constitutes a declaration that this is true.

There is a fee of £45 for this service.

Replacement degree certificates are normally produced within 20 working days from confirmation of receipt of fee. Please note that during busy periods, this may take a little longer.

Certified copies

The Assessment and Awards Office can provide authenticated photocopies of award certificates.

A certificate must be scanned and emailed to examinations@surrey.ac.uk.

There is a flat charge of £12 for six copies.

These will be stamped and signed as authenticated copies of the original document, and then returned to a specified address.

Transcripts (HEAR)

At the University of Surrey we refer to your transcript as the HEAR – Higher Education Achievement Record.

About the HEAR

The Higher Education Achievement Report (HEAR) is an official electronic document which provides detailed information about your learning and achievement at the University to supplement your traditional degree classification.  

This electronic document can be used by you to evidence your higher education credentials and to support your transition to work or further study.    

It provides a broad range of academic information including:

  • Overall qualification and classification
  • Modules and credits studied for the qualification
  • The assessment taken
  • The marks/grades achieved
  • Dissertation title (where relevant)
  • Any professional body accreditations
  • Additional recognised activities including, volunteering, training courses, national level sports activities and prizes. 
How to access your HEAR

You have free online access to your HEAR and related services via the Gradintel website.  

You will have been registered for the HEAR service by the University and to access it you must have activated your account:

  1. You will receive an email with an activation link to set up your account 
  2. Once your account has been activated you should log into your account 
  3. Go to University Services and use the My HEAR tab to access your HEAR transcript when it is made available. 
  4. You can share your HEAR electronically with third parties using the Share my HEAR tab.
Copies of transcripts

All graduating students are issued with a final HEAR which replaces the transcript.  

If you require copies of your transcript there is a charge of £35 for one to six copies but you must make it clear how many you want at the time of request.

Former students of all associated institutions should contact the Registry of the associated institution they attended for transcripts related to their period of study. 

Transcripts are normally produced within 10 working days of confirmation of receipt of fee. Please note that during busy periods, this may take a little longer.

Recently awarded students

A letter confirming a degree award will be issued via the Gradintel website after the Student Progression and Awards Board has officially approved the result.

How to pay

Payment must be made online via the Surrey Online Store.
